Summary:
The Controller a key role in the financial operations of the firm by managing all aspects of accounting and financial reporting. This includes project accounting, billing, payroll, month-end closing, and general ledger management. The ideal candidate is highly detail-oriented, experienced with Unanet A/E software, and familiar with the unique accounting needs of architectural or engineering firms.
Essential Duties and Responsibilities:
Project and Billing Management
- Review project setup and contracts for accuracy; enter into Unanet including billing terms.
- Prepare accurate and timely client invoices and project reports.
- Monitor accounts receivable and perform client collections as needed
Accounts Payable & Expense Management
- Verify and process accounts payable invoices and employee expense reports.
- Ensure proper coding, approval, and timely payment of expenses.
General Ledger & Financial Reporting
- Reconcile general ledger accounts, including bank and credit card reconciliations.
- Post cash receipts and disbursements; maintain accurate financial records.
- Assist in preparation of monthly financial statements and internal reports.
- Perform monthly, quarterly, and year-end closings within Unanet.
Payroll & Benefits Administration
- Process bi-weekly payroll through Nextep PEO platform.
- Track PTO, benefits, and deductions in compliance with company policies.
Compliance & Year-End Activities
- Work with external CPA firm on year-end tax filings and audit support.
- Post year-end adjustments and ensure all financials are accurate and compliant.
Administrative Support
- Assist with office administration and operational support tasks as needed.
- Maintain proper documentation and adherence to financial procedures.

Education and Experience:
- Bachelor’s Degree in Accounting, Finance, or related field
- Minimum of 5 years of professional accounting experience
- Experience with Unanet A/E software is required
- Previous experience in an architecture, engineering, or professional services firm preferred
- Familiarity with outsourced payroll platforms (e.g., Nextep)
Technical Skills:
- Proficient in Microsoft Office Suite, especially Excel
- Skilled in using Unanet A/E accounting software
- Knowledge of GAAP and project-based accounting
- Comfortable navigating payroll/PEO systems
